Timesheet Approval Workflow
Admins and Employee Admins review submitted timesheets and approve or reject them. This ensures accuracy before payroll processing.
Reviewing timesheets
- Navigate to Timesheets in the sidebar
- Filter by status Pending to see entries awaiting review
- Review each entry's date, hours, description, and location
Approving entries
To approve a single timesheet entry, click the Approve button on the entry row. For multiple entries, use bulk actions (see below).
Approved entries are locked and can no longer be edited by the employee. Admins can revert an approved entry back to pending using Revert to Pending.
Rejecting entries
To reject a timesheet entry, use the bulk actions (select entries with checkboxes, then click Reject Selected). The status changes to Rejected.
Rejected entries signal to the employee that a correction is needed. The employee can view the rejection and submit a corrected entry.
Bulk actions
You can approve or reject multiple entries at once:
- Select entries using the checkboxes in the table
- Use the bulk action buttons to approve or reject all selected entries
Notifications
Admins can receive notifications when employees submit timesheet entries:
- Push notifications: Enabled by default for admins. Individual admins can disable these in their notification preferences under Timesheet alerts.
- Email notifications: Optional company-wide setting. Enable in Company Settings under the Payroll section by checking Email admins when employees log time.
Export
After approving timesheets for a pay period, export the data for payroll processing. See Exporting Pay Periods.
